What are we looking for?
 We are looking for a friendly and detailed-oriented personality to act as a liaison between our clients, advisors, planners, and firm custodians, to maintain and reconcile our account database, and prepare client paperwork and reports. If people praise your organizational tendencies and you have a good sense of humor, you may be an ideal candidate for this role. We’d prefer someone with a minimum of 1-2 years’ experience in financial services and/or customer service. The person in this role will often act as a key accountability partner for clients and custodians, gently reminding them to complete action steps or tasks, but will also steadfastly defend and trouble-shoot issues that may arise in regards to clients’ accounts.

What will you do?
The Account & Data Administrator is responsible for set up and maintenance of client investment accounts and insurance policies; compilation and completion of client, custodian and firm paperwork; review and maintenance of client transactions and activity; execution of client and firm tasks such as preparation of reports; maintenance and reconciliation of the account database; preparation of billing and performance reports; and processing client billing.
• Set up accounts for new and existing clients
• Assist in completing firm and custodian paperwork as needed
• Daily database reconciliation, troubleshooting, and upkeep of client accounts and groups
• 401k and custodian credential maintenance
• Spreadsheet analysis and synthesis
• Monthly validation of all account database information
• Quarterly auditing of account data
• Quarterly account billing
• Quarterly performance reports
• Coordinate sharing of information with outside professionals, including submittal of tax information to clients and CPAs as needed
• Compile paperwork and agendas for client meetings and service reviews; attend client meetings as assigned, prepare meeting summaries and complete action items
• Collaborate as a member of the client relationship management team; communicate with clients as needed/as assigned
• Review client transactions and activities; monitor Account Alerts; support investment team as needed
What do we require?
• Min. 1-2 years’ experience in the financial services industry (preferred)
• Bachelor’s degree from an accredited university (preferred)
• Securities licensed (e.g. Series 6, 7, 65, 66, etc.) as well as insurance licensed (life and disability) a plus
• Proficiency in Word, Excel and Outlook. Experience with Schwab Institutional, Junxure, Schwab Portfolio Services, ByAllAccounts, or Tamarac a plus
• High level analytical skills
• Detail-oriented, focused, and efficient with a high degree of accuracy
• Adaptable; Able to multitask and prioritize a variety of activities
• Client first attitude
• Excellent written and verbal communication skills
• Team player, collaborative, able to work with others and take direction
• Achiever mentality; determined but also friendly and personable
• Desire/ability to work successfully in a small company environment
Salary and Benefits:
• Salary will be based on experience
• Benefits include health care and 401k with 4% employer match
• Paid time off (PTO) including 9 paid holidays (includes a paid day off annually for your birthday) and increasing accrual time of PTO from 12 days to 22 days per year.
